This Privacy Policy explains how Briarpatch Strategies Inc. ("Company," "we," "our," or "us") collects, uses, discloses, stores, and otherwise processes information through redironcalculator.com, crewbonusapp.com, and any related websites, applications, software, hosted platforms, communications, APIs, tools, and services we provide (collectively, the "Service").

This Privacy Policy is intended to work together with our Terms of Service.

When our business customers use the Service to process information about their employees, contractors, customers, or other individuals, we generally act as a service provider or processor on behalf of that customer. Direct privacy requests regarding such information to that customer first.

2.2 When we act directly

We act directly responsible for information about account owners, administrators, authorized users, prospective customers, website visitors, billing contacts, and people who communicate with us.

3. Information We Collect

3.1 Information you provide directly

Name, company name, email, phone, login credentials, billing information, files, text, time entries, schedules, notes, messages, uploads, communications, testimonials, and other content submitted through the Service.

3.2 Information collected from your use of the Service

Device information, browser type, IP address, log data, session data, feature usage, cookies, geolocation or location-related information if enabled.

3.3 Information from business customers and other users

Employee and worker information, time/attendance/scheduling data, customer and lead information, site/job/project data, uploaded documents and notes.

3.4 Information from integrations and third parties

Data from accounting systems, payroll systems, payment processors, communications tools, CRM systems, identity providers, mapping/GPS services, AI providers, and publicly available sources.

3.5 Communications and support information

Information from calls, emails, SMS, chat, support tickets, meeting recordings, and related communications.

3.6 AI-related inputs and outputs

Prompts, instructions, uploads, conversation history, model outputs, edits, corrections, feedback, usage patterns, and related metadata.

5. How We Use Information

We use information to: provide and operate the Service, support customers, improve and develop the Service, create de-identified analytics and benchmarks, communicate with you, protect security and enforce compliance, and administer our business operations.

5.4 Analytics, Benchmarking, and Aggregated Data

We may use information to create de-identified, anonymized, aggregated, statistical, modeled, inferred, benchmark, and derived data for industry benchmarking, trend analysis, market intelligence, product development, research, and commercialization of aggregated insights that do not intentionally identify a specific natural person.

6. How We Disclose Information

We may disclose information to service providers and subprocessors, within your organization based on permissions, at your direction through integrations, to payment processors, for legal reasons and protection, in a business transfer, or with your consent.

7. Aggregated, De-Identified, and Derived Data

We may create and use Aggregated Data from information collected through the Service. Where permitted by law, Aggregated Data is not treated as personal information, may be retained longer, may continue to be used after account closure, and may be disclosed to third parties in aggregated form. We do not intentionally use Aggregated Data to identify a specific natural person.

8. AI Features and Automated Processing

We may use information submitted to AI Features to operate them, provide outputs, improve reliability and safety, train and improve models, build new capabilities, and detect misuse. We may use third-party AI providers. Human review of certain AI interactions may occur for quality assurance and safety.

9. Legal Bases for Processing

We may process personal information based on: performance of a contract, legal obligations, legitimate business interests, consent, and other bases permitted by law.

10. Marketing and Communication Choices

You may opt out of promotional emails. We may still send service-related, transactional, security, billing, and account communications.

11. Data Retention

We retain information as long as reasonably necessary to provide the Service, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, detect fraud, and maintain backups. De-identified and aggregated data may be retained indefinitely.

If you are a Customer using the Service to process information about employees, contractors, or customers, you are responsible for: providing required notices, obtaining consents, ensuring legal compliance, configuring the Service appropriately, and reviewing outputs before relying on them.

21. Notice Regarding Aggregated Data and Commercial Analytics

This Privacy Policy does not restrict our ability to: create Aggregated Data, use de-identified data for business purposes, develop analytics and benchmarks across customers and industries, or commercialize such data so long as we do not intentionally identify a specific natural person.

22. Notice Regarding Recordings, Monitoring, and Quality Review

We and our vendors may monitor, record, transcribe, review, and analyze calls, meetings, chats, support interactions, emails, in-product activity, and related communications for support, training, security, fraud prevention, quality assurance, analytics, compliance, and product improvement. Customers are responsible for obtaining any legally required notices and consents.
